Job Description of a Delegate Coordinator
- Regardless of whether a delegate coordinator is working for a conference or for a special student training program, the individuals who are participating in the program will need places to stay during their temporary sojourn. Making sure they have some place to stay will usually be one of the delegate coordinator's responsibilities. This could involve working with hotels to reserve blocks of rooms and work out discount rates, working out sublet agreements with local apartments, working with student housing to arrange to use dormitory rooms, or finding families within the host program willing to let student delegates board during the program.
- Space in conferences and student programs is usually limited. The logistics of getting the right number of seats, working out workshop sizes, and stocking the necessary amount of materials requires coordinators to know in advance how many people will be showing up. Delegate coordinators will be responsible for setting up the registration process so delegates can inform the program's coordinators they will be coming, and reserve their spaces in the workshop or program. The delegate coordinator will also usually be tasked with organizing the check-in procedures so delegates know where to show up, and get themselves oriented in the program's schedule.
- If a delegate coordinator is responsible for a student enrichment program, then part of his responsibilities will involve organizing educational workshops to help give the student delegates the additional training and experience the program promised them in the first place. This will involve tracking down speakers to lead workshops, as well as handling the logistics related to finding space for the workshop itself, and scheduling it into the rest of the program activities in which delegates participate.
- Part of the appeal of many student programs is not just the additional professional training or chance to get to hear expert speakers, but the ability to develop working relationships and contacts within their field. For these professional programs, part of a delegate coordinator's responsibilities will involve personally working with students to mentor them, or arranging opportunities for the students to work with another professional in the program to develop a mentoring relationship.
